[Host] [Daily] Meeting Introduction

Introduction

To prepare, read through the script until you can work mostly without it. Small talk will become easier as you get to know the team. Be sure to read The Contest Process before the event and understand where we are at so you can mention upcoming highlights. 

When coming to this meeting, come with an energetic attitude, as your positive energy will set the tone for everybody here. Come well-rested. Read the legend and follow the checklist. 

Turn on your camera to encourage others to do the same. 

Preparing Your Knowledge

Every day, Legions are required to go through this checklist and teams through this checklist.

You should read the part relevant for the day, before each meeting. The first Wednesday is considered day one. It's the day when we kick off our Ignite event. 

Your goal is to understand how to verify if the teams are actually going through the checklist. You are to hold teams back who cannot answer your questions and go through that part of the checklist with them to ensure that they maintain focus. 

Gather at least three questions for each team leader each day to ensure they're following the checklist. Keep in mind that you're asking them what they did yesterday. So, on day three, you would ask them what they did on day two, very specifically asking them for proof and evidence that they are following the checklist.

On certain special days, you'll keep everyone back and give specific instructions.

  • Have the teams split by 10 minutes.
  • Have the whole meeting done by 20.

πŸ”Έ Say: Team leaders, post the name of your team and tag your team members in chat now.

Note, teams which have been around for 3 days or less likely don't have an introduction giver yet. 

πŸ”Έ As team leaders posts over the days, you should familiarize yourself with each team and ensure that each time each team posts.

  • Ensure team leaders give you their introduction givers.

 

🟧🟧🟧 Make Small Talk (2 Min)

Goal: Ask questions and get people to respond via voice.

Rules: Make sure nobody responds via text, and make sure it lasts no more than three minutes.

Questions like: 

  • Why did you choose to become a game developer?
  • What was your favorite thing about participating in the last jam?
  • Who here has made a game before and if so, what did you make?
  • What do you think makes a good game developer?
  • What's the one thing that keeps driving you back to [P1]?

πŸ”Έ Ask them to post their name and skill set in chat. 

πŸ”Έ At the same time ask teams which need people to post which role they need in chat. Tell them to add people they want on their team to their private space and to make sure they get a proper onboarding.

Always have this pre-prepared.

Skip this for the first two days of the sprint cycle. See if you can prepare volunteers for those two days beforehand. 

πŸ”Έ As team leaders make their posts, call them out.

πŸ”Έ Team leader name, did you appoint an introduction giver yesterday?

πŸ”Έ If they didn't, scold them and tell them that they always must appoint one the day before.

  • Don't do this on day one, as obviously this wouldn't be possible on the first day.
  • Be compassionate on the first few days.
  • Anytime this happens hold back the entire team until the end of the meeting and go through "Teaching Introductions" with them at the end:

πŸ”Έ Explain to them that teams do not need great experience to participate in Introductions. In fact, many teams have been carrying the load for a long time and depend on new teams to carry some of the weight.

πŸ”Έ Inspire them with the joy of being helpful to our cause, of liberating people from the traditional burden of education, and empowering them to succeed without needing to jump through all the arduous hoops.

πŸ”Έ Explain to them that It takes about five Introductions to get one stable member and that established teams had already done five introductions before they came and this is their chance to give back

πŸ”Έ Ask them three questions based on the above checklists. That will verify that both the teams and the legions are doing what they should be doing. 

Ask the questions to each person that posts one of the posts as they post it: 

🟧 Example Verification Questions

NOTE: I have made questions for a few days for you. However, these questions will not be kept up to date as the Legion checklist changes, so you will need to come up with your own questions in the future.

Day 1

  • No questions to ask, as the teams have not done anything yet.
    • However, they may have started earlier than the cycle had started, and in that case:
      • Ask Day 2's questions to them

Day 2

  • Teams which are resubmitting, have you re-registered yet?
  • Have you finished your organization chart yet? And if so, could I see it?
  • Meeting every weekday with your team is the difference between success and failure. And doing so at the same time every day is absolutely critical. What time is your team meeting on a daily basis?

Day 3

  • Have you put in your application to join a division if you're not part of a division?
    • If they say no, go through the checklist with them and help them do that.
  • Post your goal statement.
  • What's the impact you've chosen to focus on this time around?

  1. Ask Legion leaders to click on the hub, doing so will enable these Legion leaders to create channels for their team.
  2. Ask team leaders who correctly answered the three questions you gave them (D1/2) to follow their Legion leaders into the Legion channel.
  3. Ask the members of these teams to follow the team leaders into the channel.

πŸ”Έ Ask those teams which have not split up if they are solo teams or lost individuals.

πŸ”Έ  Reach out to create a connection between legions and solo teams.

 πŸ”ΈYou can identify solo teams by seeing which teams are left in chat once the legions split.

πŸ”ΈTell everybody to wait a moment as you go and talk with the Legion with the least teams on it.  Ask the leader if they would be willing to help the solo team find a home. 

πŸ”Έ Bring the team to the Legion channel and introduce the team to the Legion.

πŸ”Έ There isn't a formal process for onboarding a team to a Legion, other than the fact that the team changes their name in such a way that it fits with the Legion's style.
