[Day 17] Team Division [Teams] [Thursday]

Team Lead Only

Only open this if you are a team lead or were elected to read this checklist early.

🔸 Find someone to be your time keeper.

Tip: You need to choose a Kanban board tool other than Trello if you have more than 10 members present.

Tip: Ask around or Google "Free web kanban board" and get something set up.

🔸 Test the 🚀 Activity feature of Discord. There is a guide in the main checklist "Guide on how to use activities to watch it together" which explains this.

🔸 Set up the times for each step and write them down:

Things going well?

Voting on which issues to discuss?

Discussion of things going well?

Creating action items?

Issues to address?

Voting on which issues to discuss?

Discussion of issues?

Action points?

🔸 Create the Trello and add sections for each of the above.

🔸 Read the main orange checklist.
Legend

🔹 Whole team's responsibility

🔸 Elected team facilitator's responsibility

🥇 Goal: These will help you improvise.
This checklist is detailed, but you can reach the goals using your judgment if you think you can achieve them faster than the checklist suggests.

🟧🟧🟧 Headers, subheaders 1, 2, 3.

🔄 Conditional

Preparation

Read the script. Fill in the _ _ _ _ with the results. This all top 50% not just 3 if your team is small enough that it won't take hours. During the event itself, you should do your best to celebrate each person and their win together by using a soundboard or whatever means you want to.

🟧🟧🟧 Invites & Lead

🔹 Action: Appoint someone as lead for the meeting if your team leader isn't there. If they are, they should lead. All the orange 🔸points are for them.

🔸Say: First, we need everyone on our team in this voice chat to avoid leaving anyone out.

🟧🟧🟧 Introduction

🔸Say: Last time we celebrated our progress as a team!
🔸Say: The day before the next Jam, we'll meet together and do a big retrospective to improve our abilities. A retrospective is like looking back.
🔸Find the next jam's link and paste it in chat.

🔸Say: Everyone hit Interested on that event and set it to all events.

🟧🟧🟧Reveal Results

🔸Say: Today we reveal the results of the election.

🟧🟧Initiative

🔸Say: The most willing and eager helpers and volunteers. People of initiative are:

3rd place _ _ _ _
2nd place _ _ _
1st place _ _ _

🟧🟧Work Quality

🔸Say: Those who the team celebrates for their awesome-quality work are:

3rd place _ _ _ _
2nd place _ _ _
1st place _ _ _

🟧🟧Joy to Work With

🔸Say: Those who are the biggest joy they are to work with are:

3rd place _ _ _ _
2nd place _ _ _
1st place _ _ _

🟧🟧Mature

🔸Say: Those who are celebrated as the most mature:

3rd place _ _ _ _
2nd place _ _ _
1st place _ _ _

🟧🟧Top 50%

🔸Say: Those who are in the top 50% who finished with us... I will paste it in chat.

🔸 Paste:

** List all top 50% members**

_ _ _ _ _
_ _ _ _ _
_ _ _ _ _
_ _ _ _ _
_ _ _ _ _
_ _ _ _ _
*Fill these in but do not list them from 1-3, rather mix their order.*

🔸Say:  This is a list of all those who finished in the top 50% based on an average across all the scores above in no particular order!

🔸Say & paste: Keep in mind that the election we do will highlight people who talk more. Therefore, the results will not be perfectly accurate. However, you should be aware that speaking up often and being visible is important in getting promoted in most jobs too. If you're not elected, it doesn't necessarily indicate poor performance; it might mean your contributions haven't been adequately noticed. Seek opportunities to enhance your visibility and engagement with the team.

🟧🔁🟧Start Your Division

🔁 If you have not done this already before:
🔸Say:
Now we need to come up with a name for our whole division!
🔸Name your division.

🟧🟧Buy Passes

🔸Say: Based on the results today, if we are a [T2] team or higher that's now ranking up to a [T3] team, we need to buy join passes for [T2] or [T3] using the Helpfulness we have left.

🔸Say & paste: Buying more than 1 pass in order to save up for later is cheating so we may not do that or buy other items to hold for the reset.

🔸Paste this in chat, and read it out loud:

People who...

## have not submitted to Ignite Jam

T1

## finished their first Ignite Jam this round and submitted properly
or
## this time finished their second Ignite Jam but were not voted in the top 50%
or
## are T2 and just finished their third Ignite Jam but were not placed in the top 50% in this round

Are in T2

## have just finished their third Ignite Jam and have been placed in the top 50% for the second time in a row
or
## were in T3 last round and did not get voted into the top 50%
or
## finished their second Ignite Jam this round and were elected to the top 50% of their team

Are in T3

## were T3 last round and got voted in the top 50%

Are in T4

🔸 Have everyone list the tier they believe they are in and discuss their accuracy.
🔸 Make an accurate list and send it to the Ignite Host and keep a copy for Friday.

🔸Say: Tomorrow the economy is reset. Even if we have passes today, we need to re-buy these items so they last for the next jam:
🔸Say: We can share Helpfulness to ensure everyone gets the right pass related to their tier.

🟧🟧🟧 Appointing Leaders

🔸Say: Now, we need to form teams based on tiers, grouping people in the same tier together, with a maximum number per team.

🔸Say: Each tier group doesn't necessarily form a single team; rather, tier sizes max at 5 people total.

🔸Paste and say: We must divide up your team into sub teams based on their tier first and then the minimum size of 3 and max of 5 next. We are not allowed to have more than 5 people on a single team. People in different tiers should only be paired when not enough people can be placed together for a team of 3.

🔸🔹 Work together to make small teams out of your bigger team to form individual groups of a bigger division.

🟧🟧🟧 Who Continues

🔸🔹 Work together to decide which team continues the current project, if any. Only one can continue and the highest tier team has final say.

🟧🟧🟧 Register Teams

🔸🔹 Have each team do the team registration: https://articles.p1games.com/introduction/individual-team-registration

🟧🟧🟧 Next Tuesday

🔸Say: Next Tuesday, we'll have a retrospective with our entire division, so all teams assemble together to do it. Be there! You need the information from that day in the next round.

🟧🟧 Preparing for Retro

Do this only if you did not already appoint someone.
⌚5 min max.

🔸Say: Now we need to elect someone who is good at the social side of things and on Tuesday called a "Retrospective".
🔸Say: Everyone should be there as not being there could mean you can't be part of the team in the next round.
🔸Action:
Appoint someone social to read this checklist and prepare for Tuesday:

Checklist >>

🟧🟧🟧 Next Wednesday

🔸Say: Next Wednesday, the next jam will start. Make sure everyone is there.

🔸Paste: Hit interested on this event (all in series):

https://discord.gg/Ydr46QZqpP?event=1225292610810155078

DONE! Celebrate a jam well done!

🟧🟧🟧 FAQ

If I am T2 but helped with a T1 team and was voted in the top 50% am I now T2 or T3?

T3 = Anyone who has both finished 2 jams and been elected in the top 50%.

If I am T1 but got elected to the top 50% of a T2 team do I go to T3 or do I become T2?

T2

Teams play no role in how you rank up, so if you refresh the page and take a look at the image I put at the bottom, it will explain to you that team rank plays no role in individual rank. Other than that, you should be put down to a team of your rank if you were onboarded by a team of a higher rank for the first round.

🔸Paste this in chat, and read it out loud:

The tier system here at [P1] is a ranking system that ensures that capable people are connected with other capable people as they rise through the ranks.

The current team's tier is not the same as the individual members on that team. The tier of the team is defined by its elected leaders' tier. During a jam, a team might help onboard people that are not within their tier and therefore have a diverse set of tiers within a single team. Today, we're going to split up our teams based on those tiers.

Teams split from the same group at the end of a jam are automatically placed in the same allied division. Today, we're not splitting into different teams but evolving into a division where multiple teams are led by a single overall leader.

These divisions work on different games and projects but share the same processes and values.

🔸Say: If you understand, say YES in chat or hit 👍on the message posted. If you have questions now is the time to ask them.

🔸Say: We are going to start by listing what tier we're in. I'll share how you can know what tier you're in in case you are confused.

🔸Paste this in chat, and read it out loud:

T1 - People who have never submitted in an Ignite Jam.
T2 - People who submitted in any Ignite Jam.
T3 - Those T2 members of an Ignite Jam who submitted with their team AND got elected to the top 50% of their team.
T4 - For those who were elected to the top 50% of a T3 team. Must have been T3 when joining the team.

If you were T1 and properly submitted with us during this round, you are officially [T2]. Congratulations!
If you were T1 and our team is T2, this means those who are elected to the top 50% today move on to T3. Don't worry, those who are given a second chance next time.
If you were T2 and our team is T3, this means those who are elected to the top 50% today move on to T4. Don't worry, those who are given a second chance next time.

🟧🟧🟧Elections

🔸Action: Keep in mind that the election we do will highlight people who talk more. Therefore, the results will not be perfectly accurate. However, you should be aware that speaking up often and being visible is important in getting promoted in most jobs. Therefore, you should take not being elected not as an indication necessarily of poor performance but of unrecognized performance, and seek to find ways to increase how you interact with teams.

Let's all do team evaluations now: https://form.jotform.com/240804578565970

🔸Say: Sometimes we let people join teams that are not qualified to be on a particular team.
🔸Say: We should each fill that form privately.
🔸Say:
But first we need to make a list of all the people on our team. Let's do that together.

🔹Action: Make list.

🔸Say: You will need my email to submit the form. Here it is...
🔸Action: Paste an email you don't mind sharing.
🔸Say: Ok, now that we are done, let's do this form silently together:

🔸Action: Paste https://form.jotform.com/240804578565970
