Introduction Hosting Checklist

Introduction Hosting Checklist

Make sure you have been an Introduction Giver a few times and that you have shadowed an Intro Host at least once.

This document is just a summary. For more detailed instructions, read this: https://eniston.io/article/6b3f3f6c-f7b3-4390-a439-6012869a5965/edit

BEFORE THE MEETING (10 minutes): in Intro Server, #general, paste: “We are about to hold introduction chats in 10 min in <#1209992251900698684>. Be there in 10 min to get your introduction.” Here you also see new volunteers’ messages, so it’s a chance to get to know them before the meeting.

In P1Games, #general-chat paste: “@Seeking Team We are about to hold introduction chats in 10 minutes in <#1209992251900698684>. Be there in 10 min to get placed on a team.”

Join channel and open chat. Start Event by clicking the popup. Write down Intro Givers + shadowers you see there, and then the names of the new people. If you have more Intro Givers than needed, arrange they will do Intros at the later meeting or another day this week.

Start meeting
Hi everyone. My name is _____ and I am your host.

Explain group format For example - You see that you are with many other people here in the chat. Some people here are waiting to be onboarded and others will be doing the onboarding. What I am doing is getting you connected with the appropriate division to onboard each of you further.

Introduce P1
For example (use your own words, please) - Let me first give you a short introduction to what P1 is. P1 is a community that gathers people from all over the world and puts them into teams that make great games, games that have a positive impact on society. Our mission is also to empower people. We believe everyone has a gift to give the world and we give you the tools here to really develop that talent and be ready for a career in game development. As you all know, right now the industry is very difficult to get into because you have to have work experience before you get hired. [P1] provides a truly professional environment where you can get that experience, be mentored, build your network and create a great portfolio in the process. [P1] is free. Everyone is an open source contributor and we are thankful for your help and will never ask you for money!

Brief intro each new person (30 seconds max pp)
For example - Okay, so new people here, can you very briefly introduce yourself and also tell us about your skill set. Please use voice, not text chat.

Split
Then divide people into overflow channels. Whole meeting should be no more than 15 minutes. Close the event in EVENTS at the top of the Intro server. Monitor the overflow channels if all is working well.

# Help Me
25 minutes later be in the #HELP ME voice chat. People will be filling in the form and are matched with a team. Make sure all goes smoothly and that everyone finds a team. If no team is found, help them make a new team, using this form: https://form.jotform.com/240584500640954. Since creating a new team takes more time and effort, if you are the one helping the new team, the Ignite Host will give you a bonus of 2000 H. If you can create a team that meets later in the day and will join the Late Ignite meeting rather than the Early one, we temporarily give a triple bonus, so 6000 H. Just submit a ticket once the team is up and running, mentioning team name and leader. (If the Intro Giver is doing the work, they should submit the ticket.)

Finally, submit a ticket with a list of the Intro Givers, all the new volunteers and the teams they are placed on. I will review it and give you 4000 H. Thanks so much for helping out!
